General Description
Under general direction, the purpose of this position is to assist with administrative budget, accounting, information systems, and technical support services.
This class works under general supervision, independently developing work methods and sequences.
Duties and Responsibilities
The functions listed below are those that represent the majority of the time spent working in this position. Management may assign additional functions related to the type of work of the position as necessary.
- Assist in administrative functions and provide administrative support to department Chief.
- Manage data entry, acquisition, equipment, and phone updates.
- Review and approve purchase requisitions and budget transfers.
- Assist in budget, finance, purchasing, data processing functions, and training of assigned personnel.
- Represent department at meetings and events, and recommend employee training as needed
- Assist in preparation and management of the annual budget.
- Assist in analyzing current expenditures and future requirements, prepare expenditure worksheets, identify funding sources, and monitor expenditures.
- Assist in analyzing, reconciling all EOM closing, and ensure weekly cash payments and insurance payments reconcile. Ensure all necessary closing documents are provided at each closing.

- Monitor department processes, contracts and prepare justifications.
- Recommend modifications or amendments to processes to include procedure manuals.
- Serve as department representative when applicable.
- Research, prepare, conduct, and analyze complex reports, studies and surveys.
- Finalize data analysis; prepare final reports: financial, operating, statistical charts, graphs, spreadsheets.
- Assist in analyzing organizational structures, strategic plans and long and short-term master plans and makes recommendations for change.
- Research pertinent information, develop, write/revise policies and procedures, reports, and other technical documents.
- Incorporate new laws and technology into policies and procedures.
- Use and maintain history and research files.
- Perform or review complex cost and price analysis.
- Other duties as assigned.
Minimum Education and Experience Requirements
Requires a Bachelor's degree in business or public administration, social/behavioral sciences supplemented by four (4) years of professional administrative experience; or possession of any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities.
Required Knowledge and Abilities
Knowledge of trauma-informed theories, principals, and practices (includes multi-faceted understanding of concepts such as community trauma, intergenerational and historical trauma, parallel processes, and universal precautions), preferred.
Physical Demands
Performs sedentary work that involves walking or standing some of the time and involves exerting up to 10 pounds of force on a regular and recurring basis or sustained keyboard operations.
Unavoidable Hazards (Work Environment)
- Involves routine and frequent exposure to:
- Bright/dim light; Dusts and pollen.
- Other extreme hazards not listed above.
Special Certifications and Licenses
- Must possess and maintain a valid state Driver's License with an acceptable driving record.
- Must be able to pass a TB, criminal background and drug screen.
